Integrate a Microsoft Outlook Calendar or Google Calendar with Schedule Genie.



  • Schedule Genie sends appointments to a designated Outlook, Google Calendar.
  • Appointments requested through Schedule Genie receive updates from the designated Outlook or Google Calendar, including time changes, date changes, and cancelations.
  • Schedule Genie can reference a second calendar to block or remove unavailable times or days from the Schedule Genie calendar. The second integration inspects "booked" or "busy" times in the second calendar, then disables those times in the Schedule Genie app.


Before You Start

  • Log out of any Google or Outlook accounts which you may be signed into or that may automatically log or sign you in.
  • Disable the automatic login features associated with Google or Outlook by deselecting "Remember Me" or "Keep me signed in" checkboxes.
  • Clear browser cache and cookies.
  • After completing the above, perform a hard refresh of the browser.
    • Mac OS: Hold Shift and click the reload button.
    • Windows OS: Hold down Ctrl and press F5. 

Calendar Integration (Outlook)


How to Integrate or Link a Calendar with Schedule Genie

  1. Log in to the Dashboard.

  2. Scroll down to and click the Apps tab on the side menu, then click Schedule Genie.

  3. The Schedule Genie app opens in the main window.
  4. Scroll down to the notification settings section and click the Configure Calendar button.

  5. If a calendar is currently linked to the app, click the Unlink Token Button.

  6. If no calendar is currently linked, click the Remote Auth Config button.
  7. The Remote Authorization screen opens.
  8. Click the Create a new Remote Auth button.
  9. Click the drop-down or accordion menu that corresponds with the calendar to be integrated: Microsoft Outlook or Google Gmail.
  10. If the user owns the calendar or has access to the login credentials for the specific calendar, click the Launch button to initiate the authorization process.
    • If someone else owns or has access to the login credentials for the specific calendar, use the Copy button to copy-paste the link to the calendar owner to register the account.
  11. A separate window displays a login for the selected account.
  12. Enter or select the account or username that owns the calendar.
  13. Enter the password associated with the account that owns the calendar.
  14. After logging in, a screen to approve calendar access displays.
    • For Microsoft Outlook click "Yes"
    • For Google click "Advanced," then click "Allow" on the second display screen.
      • A calendar owner can select what elements of the calendar can be accessed. The calendar owner must select both calendar access elements for the integration to operate correctly.
  15. Click "Allow" on the "Confirm your choices screen".
  16. The integration is successful when the below message appears.

  17. Return to the Schedule Genie app by clicking the Apps tab in the Dashboard, then Schedule Genie. 
  18. Click the Configure Calendar button.
  19. The Remote Calendar Configuration: Schedule Genie screen opens.
  20. Locate the key that matches the one that was just created and click Use This Key.

  21. In Remote Calendars click the "Connect Calendar" button next to the calendar to be linked to Schedule Genie and display Schedule Genie appointments.
  22. In Remote Calendar Options, turn real-time updates on by clicking the red "Off" button next to Get real-time Calendar updates.

  23. The Schedule Genie calendar is now integrated for two-way communication. Lead or customer data will automatically be pushed to the linked calendar. Updates made to appointments on the linked calendar will be reflected in the dashboard and vice-versa.


šŸ—’ Note: If the user signs in from a different computer or device, Microsoft or Google may require the user to validate who this user is. The additional verification steps are not included above and are separate from the integration steps.

Remove Appointment Times from Schedule Genie Calendar 

Avoid double-booking appointments by removing appointment times from Schedule Genie. The Schedule Genie app can now read the remote calendar and block or remove times once they have been booked by the team. To do so, follow these steps:

  1. Log in to the Dashboard.

  2. Scroll down to and click the Apps tab on the side menu, then click Schedule Genie.

  3. The Schedule Genie app opens in the main window.
  4. Scroll down to the Calendar Integration section and click the External appointments block Schedule Genie? drop-down. Choose which action Schedule Genie should take when all appointments have been scheduled for a given day either through Schedule Genie or the linked calendar.
    • Never: No action will be taken. Schedule Genie will continue to book appointments regardless of those appointments which appear on the remote calendar.
    • If Full: Schedule Genie removes time slots that have been booked on the remote calendar.
  5. Click Save.



Application Access


• See your personal information, including any personal information you have made publicly available.

• Maintain access to data you have given access to:

Allows The Conversion Cloud to see and update the data you gave it access to, even when you are not currently using the app. This does not give The Conversion Cloud any additional permissions.

• View and edit events on all your calendars.

• Read your profile:

The Conversion Cloud will be able to read your profile.

• View your calendar.

• Have full access to your calendars:

The Conversion Cloud will be able to read, update, create, and delete events in your calendars.

Google allows a user to select what access to grant to The Conversion Cloud.

Microsoft grants all access to The Conversion Cloud.




  • If the calendar integration is unlinked or disconnected, any changes or modifications made to an appointment in the calendar that was created by Schedule Genie will not be reflected in the Schedule Genie app. When unlinked or disconnected, the calendars can not communicate and share appointment details.



  • A company or account can integrate with one (1) Outlook or a Google Calendar, but not both simultaneously.


šŸšØ Important: To integrate a calendar, a username and password are required. šŸšØ


Remote Authorization Key

  • Keys can be configured for both Microsoft (Outlook) and Google (Gmail) resources. The registration link is used to request access to the remote service (either Outlook or Gmail). When completed successfully, a new key is added to the Remote Authorization list.
  • Select the appropriate service to get a registration link.



  • Another user or account is automatically logging in. 
    • This may occur if the account login details are saved or if there are system defaults in place. Clear the browser cache and history for the browser in use and follow the integration steps above.
